Deliveries

Requests for tapes, cartons or files can be made by using EDCWeb Direct, by phone at (416) 798-1404, 1-800-377-FILE (3453), by fax at (416) 798-1639 or via email to orders@FileBank.ca.

Regular tape, file or carton requests received between 8:00 a.m. and 4:30 p.m. will be delivered the next business day.

For vault storage services FileBank will schedule a standard daily, weekly or monthly loop to meet your specific backup schedule. On the scheduled delivery day, FileBank’s driver will complete your tape exchange either in the morning or in the afternoon, as specified by you.

A request for a document can be faxed to your office directly on the same business day if the request is received before 4:00 p.m.

A Sameday service is available for tapes, files or cartons requested before 12 noon and will be delivered by 5:00 p.m. on the same business day.

A 3-hour Rush service is available for tapes, files or cartons requested between 8 a.m. and 2 p.m. and will be delivered within 3 hours of receiving your request.

A 90-Minute Rush service is also available for tapes, files or cartons requested between 8 a.m. and 5:30 p.m. and will be delivered within 90 minutes of receiving your request.

Emergency retrieval services are always available from 5:31 p.m. to 8 a.m. Any files, cartons or tapes requested during this time will be delivered within 90 minutes of receiving your request.

When you are requesting a tape, file or carton from FileBank, a FileBank representative will verify that you are authorized to request the information, however, we recommend that you also supply us with the name of the end user of the tapes, files or cartons. This name will be entered on the delivery order and will enable FileBank to trace that tape, file or carton to the end user if it is required in the future.

Only those persons on your authorization list, if you choose to set up one, will be given access to tapes, cartons and files being stored at our facility.

Pick-ups

When a request is made for a pick up only, FileBank will schedule the pick up within 2 business days for paper documents and the next business day for tapes. Please be sure to send a description for every new carton or tape you are sending. To save you time and expense we recommend you use FileBank’s EDCWeb Direct software. This will enable you to complete the data for each item directly from your PC.

Alternatively you can send one copy of a transmittal form or a description of the item’s contents with the corresponding barcode number. If the data for your files exists in electronic format, (e.g. in Word, WordPerfect, Excel etc.) there is no need to complete a transmittal form. Simply forward a copy of the existing data, referencing the container barcode, to our office via e-mail (data@FileBank.ca) or provide a diskette for our courier.

Supplies

Letter by Legal Record Storage cartons, as well as other box sizes, can be ordered from FileBank. The standard for delivery is within 2 business days. If you require them sooner please indicate this when you place your order. The cartons are strapped in bundles of 25 however, there is no minimum order.

Transmittal sheets and bar codes will be delivered by standard mail unless specified otherwise. The bar codes are supplied in sheets, and are pre-assigned to your company and department before we ship them to you.

If you are ordering supplies as well as a file, tape or carton request, the supplies will arrive with your request.
